A modern, fluid user experience

The PMOs and CIOs who helped us design AirSaas told us plainly: many portfolio management tools are too complex, too hard to read and too rigid. AirSaas was built to answer exactly that — simple to pick up and simple to live with day to day. Align every stakeholder in your transformation on one platform, and let collaboration carry your projects further.

6 keys to making your project portfolio reviews more effective

Preparation, prioritization, arbitration: those are the three watchwords of a good portfolio review. Take the time to apply the following six practices at your next meeting, and watch what it does to your effectiveness.

Prioritize the topics you will cover

Rank the topics for your review by how well they align with your strategic and organizational goals. The idea is to tackle the most important ones first — those that bring the organization the most value, and those most at risk at the time of the review. Prefer delaying or rejecting a low-value project over one that gives the company a new competitive edge or a real innovation.

Invite the right people to your portfolio review

Invite only the people who can make decisions, or who genuinely inform the decision-making. That keeps the attention on moving your portfolio forward and tightens the debate around what matters. Ideally: the executive committee, the sponsors of each program (the business units), and, where relevant, the managers of the projects currently at risk.

Send your reporting ahead of the meeting

Sending your flash report in advance makes decision-making flow in the portfolio review, because every stakeholder arrives aligned on the same information. You can then run the meeting far more efficiently.

Optimizing available resources

Adopt a clear structure for your portfolio review

Always use the same presentation structure and a well-ordered agenda: project progress, projects being closed, upcoming decisions, resource management, and news on projects to come. Your multi-project flash report should keep the same format too — that is what makes it effective.

Turn your portfolio review into a ritual

Hold your reviews on a fixed cadence, set by what your organization needs. Most PMOs and CIOs run a monthly portfolio review. Schedule it after the other meetings in your portfolio governance — after the weekly progress meetings with project managers, and after the fortnightly resource coordination meeting with team leads. That way you arrive with everything the review needs, and with key metrics that are genuinely up to date.

Go beyond the numbers

Do not focus only on the metrics attached to your projects. The numbers say as much as the teams themselves do — including the manager running a given project. Always give the leads speaking time, or bring their own words into your slides, to hold the decision-makers' attention through the review.
